How the fieldworks in 360 different places were coordinated in just 2 weeks in Şanlıurfa?

Updated: Jul 29, 2021

What are the challenges? Şanlıurfa is one of the largest populated cities in Turkey with over 2 million people. In this crowded city, to sustain traffic safety, the Municipality's Traffic Branch is responsible for installing and maintaining the road signs (signs, markings, etc.). Therefore, every done/undone work can cause them to encounter different problems. Job tracking and making sure that they are completed properly is a must to prevent accidents in traffic. The team needs to be well-coordinated, there are no missing signs in the field, and their maintenance should be done regularly. The most common problems in these processes are:

  • Control of the fieldworks

Are the road signs montagged? If so, is it fitted to standards? Who did the work and when? Are warning signs placed on the road before starting work to cause any accidents in traffic? These were difficult to follow and coordinate because there was no system where documents and information could be collected. Even if there were photos from the field, they could be lost after a while and it was difficult to control the works due to the lack of data.

  • Lack of data that helps to find the source of the field problems

It was difficult to find the source of the problems related to the signs in the traffic. Was there a problem due to a missing or wrong marking, or was the problem caused by external factors rather than the work done? No evidence could be found due to the lack of documents and photographs.

  • Measuring the employees' performance

It was difficult to monitor the work times of the teams in different parts of the city and to determine the performance of the employees because they could not be measured exactly what type of work took time and how long the employees spent in the field. Solution The team started using the Task Management app (Pintask) for the coordination, control, and analysis of field works, and management of all road signs works in a single map 2 weeks ago.

  • They started to assign jobs to specific people or teams by creating location-based jobs, and the records of the jobs were created. The field teams uploaded the photos they took showing that the precautions were taken before the work started, and the photos showing the completion of the work, and they notified that the work was finished with a single button. Also, they started to control all the works (active, finished, archived, etc.) with a digital archive feature, where business photos, employees, date, duration, and location are kept.

  • By using a location tracking feature, it started to be monitored instantly whether the teams in the field were at their workplaces. Thanks to the ability to create dynamic analysis, they started to be able to receive reports on all performance criteria they determined, who worked how many hours, which job took how much time, which job was completed the most.

Impact The team using Task Management (Pintask) realized the digital transformation in fieldworks processes and quickly adapted to the system thanks to the user-friendliness of the application. In just 2 weeks, they coordinated the work in 360 different locations with a team of 25 people.
